Privacy Policy

This Privacy Policy explains how KadakHost, a brand owned and operated by VRSK Enterprises, collects, uses, stores, shares and protects personal information when you visit our website, create an account, purchase or use our services, contact us, or otherwise interact with KadakHost.

In this Privacy Policy, “KadakHost”, “VRSK Enterprises”, “we”, “us” and “our” refer to VRSK Enterprises operating under the KadakHost brand.

“You”, “your” and “Customer” refer to any person, organisation or authorised representative using or interacting with our website or Services.

By using KadakHost Services, you acknowledge the practices described in this Privacy Policy.

1. Scope of This Privacy Policy

This Privacy Policy applies to personal information collected in connection with:

  • the KadakHost website;
  • customer accounts;
  • managed application hosting;
  • AI application hosting;
  • AI consulting, workflow automation, training and ongoing care;
  • consulting and professional services;
  • customer support;
  • billing and invoicing;
  • service provisioning;
  • monitoring and security operations;
  • communications with KadakHost; and
  • other services offered by KadakHost.

This Privacy Policy primarily describes information that KadakHost collects about its own customers, prospective customers and website visitors.

Where customers use KadakHost infrastructure to collect or process information relating to their own employees, users, customers or other individuals, different responsibilities may apply as described later in this Privacy Policy.

This includes Static Site Hosting, Web App Hosting, bundled and standalone Managed Databases, Custom Application Hosting, and separately agreed HA / DR work. The scope of authorised operational access depends on the Service and the Customer’s instructions.

2. Information We Collect

We collect information that is reasonably necessary to operate our business, provide Services, maintain customer accounts, comply with legal obligations, prevent misuse and support customers.

The information collected may vary depending on the Services you use.

2.1 Account and Contact Information

When you create an account, place an order or contact us, we may collect information such as:

  • full name;
  • business or organisation name;
  • email address;
  • telephone number;
  • billing address;
  • service address where relevant;
  • country, state or region;
  • account username;
  • customer or account identifier; and
  • other contact details provided by you.

2.2 Business and Tax Information

Where required for invoicing, taxation, regulatory or business purposes, we may collect information such as:

  • legal business name;
  • billing address;
  • GST registration details;
  • GSTIN;
  • tax-related information;
  • business type;
  • invoice details; and
  • other information reasonably necessary to issue compliant invoices or maintain accounting records.

2.3 Account Authentication Information

We may store information necessary to authenticate and secure your KadakHost account, including:

  • password hashes;
  • authentication tokens;
  • session information;
  • multi-factor authentication configuration;
  • account recovery information;
  • login history; and
  • security-related account information.

Where passwords are used, we aim to store them using appropriate one-way cryptographic hashing mechanisms rather than in plain text.

2.4 Order and Service Information

We collect and retain information regarding Services you purchase or use, which may include:

  • order numbers;
  • subscribed products;
  • selected plans;
  • billing cycles;
  • service status;
  • service configuration;
  • requested server location or region;
  • allocated computing resources;
  • IP addresses;
  • service creation dates;
  • renewal dates;
  • cancellation dates;
  • provisioning status;
  • service identifiers;
  • application details; and
  • other information necessary to deliver and administer the Service.

2.5 Payment and Transaction Information

KadakHost uses third-party payment gateways and payment service providers to process customer payments.

KadakHost does not intentionally collect or store complete payment-card numbers, CVV numbers, UPI credentials, banking passwords or similar sensitive payment authentication information processed directly by those payment providers.

Payment information entered into a third-party payment gateway is handled by that payment provider according to its own terms, security practices and privacy policy.

KadakHost may receive and retain transaction-related information from the payment provider, including:

  • payment status;
  • transaction or payment identifier;
  • payment amount;
  • payment date and time;
  • selected payment method type;
  • currency;
  • refund information;
  • gateway response or status;
  • payment reference numbers; and
  • information reasonably required for reconciliation, accounting and dispute resolution.

This transaction information does not normally include the complete credentials used to authorise the payment.

3. Technical and Usage Information

When you access our website or Services, certain technical information may be collected automatically.

This may include:

  • IP address;
  • browser type;
  • operating system;
  • device type;
  • access date and time;
  • referring page;
  • requested pages;
  • session information;
  • application logs;
  • server logs;
  • API requests;
  • error logs;
  • login attempts;
  • security events;
  • network information; and
  • other technical information necessary to operate and protect the Services.

We may use this information for:

  • troubleshooting;
  • security monitoring;
  • fraud detection;
  • abuse prevention;
  • capacity planning;
  • service improvement;
  • performance monitoring; and
  • investigating incidents.

4. Infrastructure and Service Metadata

Because KadakHost provides hosting and infrastructure-related Services, we may process technical information associated with customer infrastructure.

This may include:

  • IP addresses;
  • server identifiers;
  • hostnames;
  • domain names;
  • operating system information;
  • application names;
  • server resource usage;
  • CPU utilisation;
  • memory utilisation;
  • disk utilisation;
  • network utilisation;
  • uptime information;
  • service status;
  • container information;
  • database status;
  • backup status;
  • monitoring data;
  • application health information; and
  • security events.

This information is generally used to operate, monitor, troubleshoot, secure and support Services.

5. Support Communications

When you contact KadakHost for assistance, we may retain:

  • support tickets;
  • emails;
  • chat messages;
  • troubleshooting information;
  • screenshots;
  • log files;
  • error messages;
  • configuration information;
  • attachments;
  • call notes; and
  • other information provided during the support interaction.

We use this information to investigate issues, provide support, maintain service history and improve support operations.

Customers should avoid including unnecessary sensitive personal information in support tickets or attachments.

5.1 Website Enquiries and External Contact Channels

Enquiries may include your name, email, company, selected app or plan, preferred location, domain, workload, infrastructure details and any requirements you choose to provide. We use received enquiries to assess suitability, prepare quotations and respond. Do not submit passwords, API keys, SSH private keys, vault master passwords or payment credentials in general enquiries.

The current marketing-site forms do not transmit submissions to a KadakHost form backend. The enquiry forms prepare an email draft in your email app and provide a direct email link. Support and billing enquiries are addressed to support; other enquiries are addressed to sales. Scheduling is confirmed separately; opening a draft does not send it or book a meeting. Form text is not saved to browser storage by our form code. Browser autofill, your email client and other device software may retain information under their own settings. Information encoded in an enquiry URL, such as a chosen plan or runtime, may appear in browser history and normal web-server logs; it should not contain secrets.

An email enquiry reaches us only when you send it using your email service. Opening a WhatsApp link takes you to a third-party service, whose processing is subject to its own terms and privacy practices; we receive messages you choose to send to our business account. We do not embed WhatsApp chat tracking merely by providing a contact link. If form delivery is connected later, its collection and processing will be reflected in the applicable privacy notice.

6. Credentials Provided for Consulting or Managed Services

In some circumstances, KadakHost may require temporary or ongoing access to customer systems in order to provide consulting, deployment, migration, management or technical-support Services.

This may involve access to:

  • servers;
  • cloud accounts;
  • application dashboards;
  • databases;
  • APIs;
  • DNS systems;
  • code repositories;
  • automation platforms;
  • control panels; or
  • other systems.

Where credentials are provided to us, we will use them only as reasonably necessary to provide the requested Service.

Customers should provide the minimum level of access reasonably required and should revoke or rotate temporary credentials when the relevant work is complete where appropriate.

Application master passwords, private keys and API credentials should be entered directly into the appropriate system or transferred through an agreed secure onboarding process only when necessary.

For managed deployment, we may access agreed repositories, source/build output, container images, environment configuration and deployment logs. For HA / DR, we may access the agreed topology, recovery infrastructure, backups, replicas and test data. We use access for the requested work and applicable operational or legal purposes, not as permission for unrelated use of customer content.

7. Information Contained in Customer Workloads

When you use KadakHost hosting Services, information belonging to you may be stored within:

  • databases;
  • application containers;
  • file systems;
  • backups;
  • object storage;
  • volumes; and
  • other infrastructure associated with your Service.

KadakHost does not ordinarily access or inspect the contents of customer workloads except where reasonably necessary to:

  • provide a requested managed service;
  • troubleshoot a support issue;
  • perform backup or recovery operations;
  • investigate a security incident;
  • investigate suspected abuse;
  • comply with applicable law or a valid legal requirement;
  • maintain infrastructure integrity; or
  • perform another activity authorised by the Customer.

7.1 AI Hosting Workspaces and Providers

Hosted AI applications may store prompts, conversations, uploaded documents, indexes, agent memory, repository contents, tool outputs, configuration and provider credentials. These may also be present in supported application backups. Authorised operational access is limited to delivering, maintaining, securing and recovering the agreed Service and other purposes described in this Policy.

Customers choose and connect external AI, embedding and tool providers. The application can transmit content to those providers according to its configuration; hosting in India does not mean all processing remains in India. Backup storage may be in another country, with the region disclosed during onboarding. Customers must consider the processing terms of their selected providers and obtain appropriate permissions for the data they supply. Do not submit API keys or production credentials through public enquiry forms or ordinary email; enter them through the supported application or agreed secure handover.

8. Information We Do Not Intentionally Collect

Unless specifically required for a Service or legal obligation, KadakHost does not seek to collect unnecessary sensitive personal information.

Customers should not provide information such as government identification documents, medical information, financial credentials or other highly sensitive personal information unless specifically requested and reasonably necessary for a legitimate purpose.

9. How We Use Personal Information

We may use personal information for purposes including:

  • creating and maintaining customer accounts;
  • providing requested Services;
  • provisioning infrastructure;
  • processing orders;
  • processing renewals;
  • verifying payments;
  • generating invoices and receipts;
  • managing subscriptions;
  • providing customer support;
  • responding to enquiries;
  • managing backups and restores;
  • monitoring hosted infrastructure;
  • detecting service failures;
  • securing accounts and infrastructure;
  • preventing fraud and abuse;
  • detecting malicious activity;
  • investigating incidents;
  • complying with legal and regulatory obligations;
  • maintaining accounting and taxation records;
  • communicating maintenance notices;
  • communicating service disruptions;
  • sending renewal or expiry reminders;
  • processing cancellations;
  • processing refunds;
  • enforcing our Terms and Conditions;
  • improving our Services;
  • analysing operational performance; and
  • maintaining business records.

We aim to collect and use only information reasonably required for legitimate business, contractual, operational, security or legal purposes.

10. Service Communications

KadakHost may send communications necessary for the operation of your account or Services.

These may include:

  • account verification messages;
  • order confirmations;
  • payment confirmations;
  • receipts;
  • invoices;
  • provisioning notifications;
  • server information;
  • service-status information;
  • renewal reminders;
  • payment reminders;
  • maintenance notices;
  • security alerts;
  • support communications;
  • abuse notifications;
  • suspension notices;
  • cancellation confirmations; and
  • important changes relating to the Service.

These operational communications may be necessary for us to provide the Service.

11. Marketing Communications

KadakHost may occasionally send information about products, new Services, promotions or business updates where permitted.

Where required, we will provide an appropriate mechanism to unsubscribe from optional marketing communications.

Unsubscribing from marketing communications will not prevent us from sending transactional or operational communications necessary to manage your account or Services.

12. Cookies and Similar Technologies

Our website may use cookies and similar technologies.

Cookies may be used for purposes such as:

  • maintaining login sessions;
  • remembering account preferences;
  • improving website functionality;
  • security;
  • fraud prevention;
  • understanding website usage; and
  • measuring website performance.

Some cookies may be necessary for the website to function correctly.

Third-party services integrated into our website may also use cookies or similar technologies subject to their own privacy practices.

Where required, KadakHost may provide cookie controls or consent mechanisms.

13. Third-Party Payment Providers

Payments for KadakHost Services may be processed through independent third-party payment gateways.

When you choose to make a payment, information necessary to complete that payment may be submitted directly to the payment provider.

KadakHost does not control the payment provider’s internal processing of your payment credentials.

Payment providers may independently collect information such as:

  • card details;
  • bank account information;
  • UPI information;
  • payment authentication information;
  • device information;
  • fraud-prevention information; and
  • transaction information.

Such processing is governed by the payment provider’s own privacy policy and terms.

KadakHost generally receives only the information necessary to determine whether a payment succeeded, failed, was refunded or requires further action.

14. Third-Party Infrastructure and Service Providers

KadakHost may rely on third-party providers to deliver parts of its Services.

These may include providers of:

  • computing infrastructure;
  • virtual servers;
  • data centres;
  • networking;
  • storage;
  • backups;
  • email delivery;
  • monitoring;
  • security;
  • software platforms;
  • application hosting tools;
  • support systems;
  • analytics;
  • payment processing;
  • domain or DNS services; and
  • other technologies necessary to operate KadakHost.

We may share or process information through these providers where reasonably necessary to provide the Services.

We do not sell customer personal information to infrastructure or service providers.

We seek to use such providers only for legitimate operational or business purposes.

15. International Processing and Data Location

Hosting and cloud infrastructure may be located in India or other countries depending on the Service, selected region, infrastructure availability and technical requirements.

As a result, customer information or service data may be processed or stored outside the Customer’s state or country.

Where specific data-location requirements apply to a customer, those requirements must be agreed with KadakHost before purchasing or deploying the applicable Service.

Selection of a particular hosting region does not necessarily mean that every supporting service, backup, monitoring system or administrative component operates exclusively within that region unless expressly agreed.

16. Sharing of Personal Information

KadakHost may share personal information where reasonably necessary with:

  • infrastructure providers;
  • cloud or hosting providers;
  • storage providers;
  • backup providers;
  • payment gateways;
  • accountants;
  • tax professionals;
  • auditors;
  • professional advisers;
  • email or communication providers;
  • security providers;
  • software providers;
  • monitoring providers;
  • contractors assisting us in providing Services; and
  • government, regulatory or law-enforcement authorities where legally required.

We aim to limit information shared with service providers to what is reasonably required for the relevant purpose.

17. Legal Requests and Disclosure

KadakHost may disclose information where we reasonably believe disclosure is required to:

  • comply with applicable law;
  • comply with a court order;
  • respond to a lawful request from a competent authority;
  • investigate fraud;
  • investigate cybersecurity incidents;
  • investigate illegal activity;
  • enforce our Terms and Conditions;
  • protect KadakHost’s rights or property;
  • protect customers or third parties; or
  • respond to an emergency involving safety or significant harm.

Where legally permitted and appropriate, we may attempt to notify affected customers of requests relating specifically to their Services.

18. Sale of Personal Information

KadakHost does not sell personal information as a business model.

We do not provide customer information to third parties in exchange for payment for advertising or data-brokerage purposes.

Information may nevertheless be shared with service providers where necessary to operate our business and provide the Services as described in this Privacy Policy.

19. Data Security

KadakHost uses reasonable technical and organisational measures intended to protect personal information against:

  • unauthorised access;
  • accidental loss;
  • inappropriate disclosure;
  • alteration;
  • destruction; and
  • misuse.

Depending on the system involved, measures may include:

  • access controls;
  • authentication;
  • encryption;
  • firewalls;
  • network controls;
  • logging;
  • monitoring;
  • backups;
  • restricted administrative access;
  • credential-management practices;
  • software updates; and
  • other technical security measures.

No internet-connected system is completely secure.

Accordingly, KadakHost cannot guarantee that unauthorised access, data loss or security incidents will never occur.

20. Customer Security Responsibilities

Customers are responsible for protecting their KadakHost account and systems under their control.

Customers should:

  • use strong passwords;
  • enable multi-factor authentication where available;
  • protect SSH keys;
  • protect API credentials;
  • restrict administrative access;
  • keep contact information current;
  • promptly report suspected account compromise; and
  • avoid sharing credentials unnecessarily.

For self-managed infrastructure, customers are responsible for securing applications and operating systems unless management of those components is expressly included in the purchased Service.

21. Data Retention

KadakHost retains information only for as long as reasonably necessary for the purposes for which it was collected or where retention is necessary for legal, tax, accounting, security, dispute-resolution or operational purposes.

Different categories of information may have different retention periods.

For example, we may retain:

  • account records while an account remains active;
  • billing and invoice information for applicable statutory or accounting periods;
  • transaction records for reconciliation and dispute purposes;
  • support records for service-history and operational purposes;
  • security logs for an appropriate security-retention period;
  • service configuration while the Service remains active; and
  • records necessary to establish or defend legal claims.

Information that is no longer reasonably required may be deleted, anonymised or aggregated.

21.1 Hosting Verification and Security Records

Where applicable Indian cybersecurity requirements require it, hosting onboarding and service records include validated customer names, contact/address details, service dates, assigned IPs, registration email/IP/time, the purpose of the service and customer ownership information. Relevant records must be retained for the legally prescribed period, including five years after cancellation or withdrawal where the CERT-In hosting-provider directions apply. We may require sufficient information to meet those obligations before providing a Service.

Applicable CERT-In directions also require relevant ICT-system logs to be retained securely for a rolling 180-day period within India and furnished to CERT-In when lawfully required. These records are distinct from short-lived customer application logs and hosted files. Cancellation or deletion requests do not remove mandatory record-retention obligations. They do not require us to retain an entire customer hosting environment or application backup for those periods.

22. Data Following Service Cancellation

When a hosting Service is cancelled or terminated, associated hosted data may be deleted in accordance with the Service’s retention and cancellation policies.

This may include:

  • application data;
  • databases;
  • containers;
  • volumes;
  • snapshots;
  • backups;
  • logs; and
  • configuration information.

Customers are responsible for exporting information they require before a Service is terminated.

KadakHost may retain limited account, transaction, invoice, tax, security and legal records even after hosted service data has been deleted.

23. Backups and Deleted Data

Information deleted from an active system may remain temporarily within backups.

Backup systems are generally designed for disaster recovery and may not allow individual records to be immediately removed from every historical backup.

Deleted information contained within backups may therefore remain until the relevant backup expires or is overwritten according to the applicable backup-retention schedule.

Such information will not ordinarily be restored except where the backup itself is required for recovery purposes.

24. Customer-Controlled Personal Data

Customers may use KadakHost Services to operate applications that collect personal information from their own users, employees, customers or other persons.

In these circumstances, the Customer generally determines:

  • what information is collected;
  • why it is collected;
  • how it is used;
  • how long it is retained;
  • who may access it; and
  • what rights are provided to the individuals concerned.

The Customer remains responsible for ensuring that its applications and use of KadakHost Services comply with applicable privacy and data-protection requirements.

KadakHost generally processes such information only as necessary to provide hosting, infrastructure, backup, monitoring, management or support Services.

25. Managed Services Access

For Managed App Hosting or other managed Services, authorised KadakHost personnel may have technical access to hosted environments where access is necessary to:

  • deploy applications;
  • maintain infrastructure;
  • perform updates;
  • troubleshoot incidents;
  • restore backups;
  • manage databases;
  • monitor systems;
  • respond to security incidents; or
  • perform other contracted services.

Access is intended to be limited to legitimate service-delivery purposes.

25.1 Deployment, Backup and Recovery Data

Managed deployments may process source or build artifacts, deployment metadata, environment settings, application logs and database information within the agreed hosting scope. Backups and replicas can contain customer content, personal information and configuration. A restore or recovery exercise may copy or overwrite data; its scope and recovery point must be authorised as agreed with the Customer.

Fixed-price managed plans include the plan’s seven-day rolling backup retention for eligible data. HA / DR replicas, separate recovery locations and longer retention apply only when agreed. A selected production region does not alone determine every backup, operational-log or support-system location. Specific residency requirements must be agreed for all relevant components.

26. Consulting Services

During a consulting engagement, customers may provide KadakHost with business information, system information, configuration files, credentials, logs or other material needed to perform the engagement.

KadakHost will use such information for purposes reasonably connected with delivering the consulting engagement, supporting the resulting implementation and maintaining necessary business records.

Customers should avoid providing information that is not necessary for the engagement.

26.1 AI Consulting, Evaluation and Ongoing Care

Consulting may require representative process examples, documents, emails, workflow exports, prompts, tool configuration, test results and execution logs. Discovery uses anonymized examples wherever practical and does not require production credentials. Access is limited to the agreed work, testing, handover and purchased care. Secrets use supported credential stores and agreed secure channels, not public enquiry forms or unnecessary logs.

Before launch, the engagement records the selected AI/OCR/messaging providers, data and regions involved, retention and execution-log settings, and deletion arrangements for test data and temporary access. Customer-selected external services may receive inputs and outputs as configured and may process them outside India. Customer-owned infrastructure does not by itself make all processing local. Operational and backup access for separately purchased AI Hosting remains governed by its agreed scope.

Workshop recordings are made only where participants consent. The agreed purpose, access and retention of a recording are communicated before recording; a non-recorded session remains possible. Project examples, customer names, outcomes or testimonials are not published as case studies without the necessary Customer permission. At handover or termination, temporary credentials are removed or revoked and test copies are deleted according to the agreed schedule, subject to necessary business records, applicable legal obligations and disclosed backup expiry.

27. Personal Data Rights

Depending on applicable law and the circumstances of processing, individuals may have rights relating to their personal information.

These may include rights to:

  • obtain information about how their personal data is processed;
  • request correction of inaccurate information;
  • request completion or updating of information;
  • request deletion or erasure where applicable;
  • withdraw consent where processing is based on consent;
  • raise a grievance regarding processing of personal information; and
  • exercise other rights available under applicable data-protection law.

Requests may be subject to identity verification and applicable legal exceptions.

Certain information may need to be retained despite a deletion request where retention is required for purposes such as:

  • taxation;
  • accounting;
  • fraud prevention;
  • legal compliance;
  • dispute resolution;
  • security; or
  • establishment or defence of legal claims.

28. Correcting Account Information

Customers should maintain accurate information in their KadakHost account.

Customers may request updates to their account or contact information by emailing support@kadakhost.com.

29. Account and Data Deletion Requests

Customers may request closure of their KadakHost account or deletion of eligible personal information.

Before fulfilling certain requests, KadakHost may require reasonable verification to ensure that the requester is authorised to make the request.

Closing an account does not necessarily result in immediate deletion of every record.

Information may continue to be retained where reasonably necessary for:

  • legal compliance;
  • invoices;
  • taxation;
  • accounting;
  • payment disputes;
  • fraud prevention;
  • abuse records;
  • security investigations; or
  • legal claims.

Hosted data associated with active Services may need to be handled separately from the KadakHost customer account itself.

30. Withdrawal of Consent

The developer of such software may have its own telemetry, update, analytics or data-processing behaviour.

Unless expressly stated otherwise, KadakHost does not control data independently transmitted by third-party applications to their developers or other external systems.

Customers should review the documentation and privacy practices of applications they choose to deploy.

Where reasonably possible within a managed engagement, KadakHost may assist customers in understanding or configuring available privacy-related settings.

35. Automated Security and Monitoring Systems

KadakHost may use automated systems to identify:

  • unusual login activity;
  • malicious traffic;
  • excessive resource usage;
  • infrastructure failures;
  • suspicious requests;
  • spam;
  • malware;
  • network attacks; and
  • other security or operational events.

Such systems may automatically generate alerts or temporarily restrict activity where necessary to protect infrastructure.

Significant enforcement actions may be reviewed where appropriate.

36. Business Transfers

If VRSK Enterprises or the KadakHost business undergoes a merger, acquisition, restructuring, financing transaction or sale of all or part of its business or assets, information associated with the business may be transferred as part of that transaction.
